Name the work before choosing the tool
Start with a specific task: who initiates it, what information is needed, what changes hands and what a successful outcome looks like. A vague goal such as “add AI” gives a team little to evaluate.
Design the exceptions
Approvals, missing information and failed integrations are part of the real workflow. Decide who can resolve each exception and how the system makes it visible.
Choose a measurable first release
Select a bounded workflow and agree how to review it. Suitable measures might include the time needed to complete a task or the proportion of records requiring correction. Establish a baseline before promising an improvement.
